The Role We are looking for an experienced Executive Assistant (EA) to provide maternity cover support to the Registrar, Deputy Registrar, and Executive Director. This fast-paced role involves managing a variety of tasks and priorities, while liaising with senior stakeholders both internally and externally.
Key Responsibilities:
- Provide comprehensive EA support, including managing diaries, arranging travel, and preparing materials for meetings.
- Act as the first point of contact for internal and external communications with the Registrar, Deputy Registrar, and Executive Director.
- Coordinate and manage high-profile meetings, including committee management, drafting agendas, and taking minutes.
- Assist with the preparation of reports, presentations, and documents for meetings.
- Support the department in managing sensitive issues such as member disciplinary matters and other administrative tasks.
- Manage multiple inboxes, prioritising and responding to queries as needed.
- Organise and coordinate departmental meetings, away days, and events.
- Maintain office supplies, assist with budget management, and process expense claims.
- Essential:
- A-level standard education or equivalent.
- Advanced knowledge of Microsoft 365 (Word, Excel, PowerPoint, Outlook, Teams, SharePoint).
- Experience in providing high-level administrative and corporate support.
- Strong time management, task prioritisation, and organisational skills.
- Exceptional communication and interpersonal skills, with the ability to engage with senior stakeholders.
- Proven ability to manage complex workloads and adapt to changing priorities.
- A proactive, flexible approach with strong attention to detail.
- Desirable:
- Educated to degree level.
- Experience in committee management and report writing.
- Previous experience working in a membership organisation, charity, or the NHS.
- Knowledge of corporate governance.
- Experience using CRM systems and managing budgets.
