Our client is seeking an Administrator to support the department EA and MD’s by organising all meetings, diary management and managing and co-ordinating a full range of office management / administrative duties as well as undertaking and supporting projects.
  
Who will you be working for?

Our client is a London based not for profit membership organisation for healthcare professionals; they are innovative and leaders in the sectors best practice. They have several locations throughout the UK.
  

What will you be doing?
As Administrator you will support the department Executive Assistant and Managing Director.
  
Responsibilities include:
  • Administrative Support and office coordination:
    • Diary management.
    • Drafting of correspondence, formatting documents and taking dictation as necessary.
    • Ensuring all correspondence is well organised, prioritised and managed on a timely basis.
    • Provide proactive coordination and support to the Team and Project Leads.
    • Provide committee management and Board support where necessary including minute taking, plan agendas, meeting arrangements and preparation of papers.
    • Provide administrative support for new work, including gathering documents to inform planning, meeting arrangements and meeting support as required
    • File management.
    • Management of office supplies and ordering
    • Any other administrative tasks necessary.
  • Project support and delivery:
    • To provide administrative support to project meetings and/or report-writing groups where required - including note or minute taking and setting dates for future meetings.
    • To assist with the co-ordination/provision of regular and one-off reports to internal committees / external stakeholders.
    • To assist with setting up and running of all staff meetings, including one-off events.
You will need:
  • Experience of working in a fast-paced environment and taking a proactive approach to work.
  • Experience within NHS or similar – highly desired.
  • Experience in an administrative or PA role.
  • Excellent working knowledge of MS Office applications (Word, Outlook, PowerPoint, Excel).
  • Strong administrative skills, attention to detail, able to work under pressure effectively and work.
  • Flexibly responding to changing demands and priorities as well as an abilitu to prioritise your own workload.
  • Ability to maintain confidentiality and act with discretion and diplomacy at all times.
  • Strong sense of team working
  • Providing a high level of customer service to internal and external clients and ability to build rapport.
  • Good communication skills
